# Ward

### Overview

A *Ward* is a micro-observation unit within a *Zone* of a town, serving as a precise geographical segment for operational management.

By dividing a town into zones and further into wards, organizations can have a detailed and accurate view of operations. Different addresses or collection points are mapped under each ward, enabling efficient tracking, planning, and monitoring of activities.

### To Get Started

- Log in to your account.
- Go to Setting\>Master\>Ward

### To add Ward Individually

- Click on the ➕ button on the taskbar

#### Navigate to the details place

- **Select the Company, Branch, Town and Zone** from the respective drop-down menus under which the zone will be created.  
  Note: Upon selecting the Town and Zone the zone will be visible on the map.
- **Enter the Ward Name** that you wish to create.
- **Provide a Description** for the zone. This description will help the working team understand its purpose and reference it for future operations.

- **Enter the Contact Person’s Name.**Specify the name of the person responsible for managing or coordinating the ward.
- **Enter the Mobile Number** *(Mandatory).*Provide a valid mobile number for direct communication.This field is marked with an asterisk (\*) indicating it is required.
- **Enter the Telephone Number** *(Optional).*You may include an alternate landline number for official use
- **Enter the Email Address.** Provide the email ID of the contact person to receive notifications or updates related to the zone.
- **Select a Color using the Color Picker.**Choose a unique color code to visually represent this zone on the map or dashboard.
- **Enter the Tolerance (in meters).**Define the acceptable deviation or boundary tolerance for the zone mapping.

#### Navigate to Map

On the right-hand side, you will find the following map tools and options:

- **Zone:**

- The zone is visible on the map upon selection on the detail view.

- **Search Location:**

- Use the search bar at the top to find a specific location or area on the map.

- **Map View Controls:**

- Click the **map icon** to switch between different map views (e.g., street view, satellite view, etc.).

- **Drawing or Ward Creation Tool:**

- Use the **polygon or circular icon** to mark or draw the boundary of a Ward directly on the map.
- Geofence Shape:

- Upon selecting the option you can create the zone boundary on map.

- **Zoom Controls:**

- Click the **“+”** button to zoom in for a detailed view.
- Click the **“–”** button to zoom out and view a larger area.

- **Geofence edit and delete option**

- You can edit the geofence else if you want you delete the geofence.

### Download Zone Information

Users have the option to easily download all Zone information in various formats, including KML, or XLS. Simply click on the appropriate button located at the bottom of the tab to retrieve the information in the desired format.

To Create Geofence in Bulk

### XLS Upload

- Click on the XLS upload button on the Taskbar

    - **Select the Company** 
          - Choose the company from the drop-down list under which the data will be uploaded.
          - This field is **mandatory**.

- - **Select the Branch**

- - - From the drop-down menu, select the relevant branch associated with the selected company.
          - This field is also **mandatory**.

- - **Select the Town**

- - - Choose the town for which the file or data is being uploaded.
          - This field is **mandatory**.

- - **Upload the File**

- - - Click the **“Choose File”** button to browse and upload the required file from your system.
          - Ensure that the file follows the correct format or structure as per the sample file.
          - This field is **mandatory**.

- - **Download Sample File (Optional)**

- - - Click on **“Download sample file”** to download a reference template.
          - Use this sample to prepare your data in the required format before uploading.

### KML Upload

- **Click on the XLS upload button on the Taskbar

    - **Select Visit Type**

- - - Choose the visit type from the drop-down menu.
          - For zone creation, select **“Map”** as the visit type.

- - **Select the Company**

- - - Choose the appropriate **Company** from the drop-down list under which the zone will be created.
          - This is a **mandatory field**.

- - **Select the Branch**

- - - Select the **Branch** corresponding to the chosen company.
          - This ensures the zone is mapped under the correct operational branch.

- - **Select the Town**

- - - Choose the **Town** for which you are uploading the KML file (e.g., *Dubai*).
          - This defines the geographical area for the zone.

- - **Choose a Zone Color**

- - - Use the **Color Picker** to assign a unique color to the zone.

- - **Enter the Mobile Number**

- - - Provide a valid **Mobile Number** for the contact person related to the zone.
          - This field is **mandatory**.

- - **Upload the KML File**

- - - Click the **“Choose File”** button and upload the **KML file** that contains the predefined zone boundaries.
          - Ensure the KML file is properly formatted and represents the correct zone area.
          - This field is **mandatory**.

- - **Enter the Tolerance (in meters)**

- - - Specify the **tolerance distance** (e.g., 10 meters) to define boundary precision for the uploaded KML zone.
