Travel

The Travel Summary Report provides a complete summary of vehicle movement and activity for a selected period. It includes key information such as distance traveled, travel duration, idle time, stoppage time, maximum speed, average speed, alerts generated, geofence details, and last received data. This report helps users analyze vehicle utilization, monitor driver behavior, verify trips, and gain insights into overall fleet performance.

Please Note: This report is available in Trakzee Lite, Trakzee Standard, Trakzee Premium & Smart Waste Management.

Before You Get Started

  • This report uses the Status of the Ignition sensor to generate data for Running, Idle & Stop.
    • To know more about ignition sensor configuration, Click here.

Please Note: 

Idle Time: To calculate Idle Time, the Ignition sensor must be configured.

Running & Stop Time: If the Ignition sensor is not configured, Running and Stop Time will be calculated based on vehicle speed:

  • Running Time: Speed > 5
  • Stop Time: Speed < 5

In such cases, Idle Time will not be available.

  • The report displays data related to Alert Count, Overspeed Violations, and Cost based on Distance or Duration. To view accurate data, the required configurations must be completed.

    • Overspeed: Displays the number of times a vehicle exceeded the configured speed limit. The Overspeed alert must be configured for data to appear in this column.
    • Idle: Displays the number of times a vehicle in Idle state. The Idle alert must be configured for data to appear in this column.
    • Alert Count: Displays the total number of alerts generated by the vehicle during the selected reporting period. Alert configurations must be set up to receive data in this column.
    • Cost Based on Distance/Duration: Displays the estimated operational cost calculated based on the vehicle's traveled distance or usage duration. This configuration must be set individually for each vehicle from the Profile section under Vehicle/Object Configuration.
  • Approx toll charges calculated based on toll data available in the backend system. Currently, toll cost calculation is supported only for India. Toll data support for other countries can be added based on user requirements.

To Open Travel Summary Report.

  • Log in to your account.
  • Go to Reports > Activity > Travel Summary.

When the user clicks on the Travel Summary Report, the filter panel opens. The user must then select the vehicle, date range, and time range to generate the report. Additional filter options are also available and are explained below.

Filter Explanation:

  • The Travel Summary Report provides a range of filter options to help users generate a customized report based on their requirements. Users can filter data by company, branch, vehicle group, vehicle type, vehicle brand, vehicle model, date range, duration, distance, and specific vehicles. Applying the appropriate filters helps narrow down the results and display only the relevant travel information. Once the desired filters are selected, click Apply to generate the report. The available filter options are explained below. 

    • Company: Select the company for which the report needs to be generated. Branch & vehicles associated with the selected company will be displayed in the list.
    • Branch: Select a specific branch for which the report needs to be generated. vehicles associated with the selected branch & company  will be displayed in the list.
    • Vehicle Group:  Filter vehicles based on the configured vehicle groups. Vehicle will be listed from the selected Group.
    • Vehicle Type: Select the vehicle type (e.g., Car, Truck, Bus) vehicle will be listed based on selected type.
    • Vehicle Brand: Select the vehicle brand (e.g., Mercedes, Scania, TATA) vehicle will be listed based on selected brand.
    • Vehicle Model: Select a vehicle model (e.g., E class, 5 series, Safari) vehicle will be listed based on selected model.
    • Duration Status: Use this filter to display records based on a specific vehicle status duration, Vehicle will be shown for the selected status in the report.
    • Duration: Use this filter to display records based on the duration of a selected Duration status.
      • Greater Than: Displays records in report where the selected status duration is greater than the specified value.
      • Less Than – Displays records in report where the selected status duration is less than the specified value.

        After selecting the condition, enter the duration value (in hours) in the Duration Value field. The report will display only those records that match the selected duration criteria.
    • Distance: Use this filter to display records based on the distance traveled by the vehicle.
      • Greater Than – Displays records where the traveled distance is greater than the specified value.
      • Less Than – Displays records where the traveled distance is less than the specified value.

        After selecting the condition, enter the distance value in the Distance Value field. The report will display only those records that match the selected distance criteria.
    • Duration Format: Choose how duration values are displayed in the report:

      HH:MM – Displays duration in Hours and Minutes.
      Decimal – Displays duration in decimal hours.
    • Date Selection: Select the date range for which the report is to be generated.
      • Today: Select to generate the report for the current day.
      • Yesterday: Select to generate the report for the previous day.
      • This Week: Select to generate the report for the current week. The report includes data up to the current day of the week.
      • Last Week: Select to generate the report for the previous week.
      • Last 7 Days: Select to generate the report for the previous 7 days..
      • This Month: Select to generate the report for the current month. The report includes data up to the current date.
      • Last Month: Select to generate the report for the previous month.
      • Custom Range: Select to generate the report for a specific date range by manually choosing the start and end dates.
    • Time Range: Select the time range for which the report data should be generated. When multiple days are selected, the data for the chosen time range will be displayed separately for each day.
    • Object Selection: Users can select the required object(s) from the list. Multiple vehicles/objects can be selected simultaneously for report generation.
      • Search: Users can search for vehicles/objects from the available list using the search field.
    • Apply: Click to generate report based on configured parameters.
    • XLS/PDF/CSV: Click to download the report based on the configured parameters and selected format.

      • Summary: Click to download the Summary Layer (1st Layer) report.
      • Summary with Detail: Click to download the Summary and Detail Layer (1st + 2nd Layer) report.

Please Note: Once the filter configuration is completed, the report will load automatically. The report data will be divided into multiple layers for better analysis and visibility.

Report Layers

The Travel Summary Report is divided into three layers to help users analyze data at different levels of detail:

  1. Summary Layer (Travel Summary)– Displays a summarized view of travel data for each selected vehicle across the entire selected date range.
  2. Day-wise Layer(Travel Daily Summary) – Provides a detailed breakdown of travel information for a selected vehicle on a day-by-day basis within the selected date range.
  3. Location-wise Layer(Travel Detail) – Displays the most detailed information, including all trips, locations, timestamps, and other related parameters for the selected vehicle on a specific day.

Users can drill down from the summary layer to the day-wise layer, and further into the location-wise layer for detailed analysis.

  • Travel Summary: This layer displays one row per vehicle/object and summarizes the complete operational activity for the selected time range.
    • Company: Company associated with the vehicle.
    • Branch: Branch associated with the vehicle.
    • Object: Vehicle or asset identifier/name.
    • Vehicle Brand: Manufacturer of the vehicle.
    • Vehicle Model: Model/type of vehicle.
    • Driver: Assigned driver name.
    • IMEI No: GPS device unique identification number.
    • Start Location: First recorded location during the selected period.
    • Start Odometer: Initial odometer reading.
    • Distance:  Displays the total distance traveled by the vehicle when report is generated.
    • Running V/S Stop: Graphical comparison of running and stop duration.
    • Running (HH:MM): Total moving/running time.
    • Idle (HH:MM): Time when ignition was ON but vehicle was stationary.
    • Stop (HH:MM): Total stoppage duration.
    • Inactive (HH:MM): Total duration when the GPS device did not send any data to the server.
    • Duration (HH:MM:SS): Total duration of Running, Idle & Stop.
    • Work Duration: Total Working duration. ( Running + Stop )
    • Working Days: Number of active working days. ( Running + Stop )
    • Max Stoppage: Longest continuous stoppage recorded.
    • No of Idle: Number of idle events detected. 
    • Speed AVG: Average vehicle speed.
    • Speed MAX: Maximum vehicle speed achieved.
    • Cost Based on Distance: Estimated cost calculated from distance traveled.
    • Cost Based on Duration: Estimated cost calculated from operational duration.
    • Over Speed: Count of overspeed violations.
    • Alert: Total number of generated alerts/events.
    • Approx Toll Cost: Estimated toll expenses.
    • End Odometer: Final odometer reading.
    • End Location: Last recorded location.
    • Playback: Option to replay vehicle route/travel history.

  • Travel Daily Summary: Displays day-wise operational and travel activity for the selected vehicle/object. Each row represents one day of summarized vehicle activity including movement, speed, ignition, alerts, and odometer details.
    • Date: Date for which the travel summary is generated.
    • Day: Day name corresponding to the date.
    • Driver: Driver assigned to the vehicle on that day.
    • First Ignition ON: First ignition ON timestamp recorded for the day.
    • Start Location: First recorded location after ignition ON.
    • Approx Distance: Approximate total distance traveled during the day.
    • Running (HH:MM): Total moving/running time for the particular day.
    • Stop (HH:MM): Total stopped duration for the particular day.
    • Idle (HH:MM): Total idle duration where ignition was ON but vehicle was not moving for the particular day.
    • Inactive (HH:MM): Total duration when the GPS device did not send any data to the server for the particular day.
    • Running V/S Stop: Graphical comparison between running and stop duration for the particular day.
    • Speed AVG: Average speed achieved during movement.
    • Speed MAX: Maximum speed recorded.
    • Duration (HH:MM): Total duration covered in the report.
    • Cost Based on Distance: Estimated operational cost calculated from traveled distance.
    • Cost Based on Duration: Estimated operational cost calculated from operational duration/time.
    • Alert: Total alerts/events generated during the day.
    • Approx Toll Cost: Estimated toll charges for the day.
    • Start Odometer: Odometer reading at the beginning of the day.
    • End Odometer: Odometer reading at the end of the day.
    • Last Ignition Off: Last recorded ignition OFF timestamp for the day.
    • End Location: Last recorded vehicle location for the day.
    • History: Opens Travel history Report.
    • Playback: Replays the complete route movement for the selected day.

  • Travel Details: The Travel Detail layer provides a detailed chronological view of vehicle movement and telemetry data for a selected vehicle and date range. This layer allows users to analyze trip activity, location history, speed, distance traveled, power status, and GPS information at specific timestamps.
    • Vehicle: Displays the name of the vehicle for which the travel data is being shown.
    • Date: Displays the date on which the travel activity was recorded.
    • Time: Displays the timestamp of the recorded data point.
    • IGN: Displays the ignition status of the vehicle at the recorded time.
      • Green– Ignition is ON.
      • Red– Ignition is OFF.
    • Battery %: Displays the battery percentage reported by the device, if supported by the hardware.
    • External Voltage: Displays the external power supply voltage received from the vehicle or connected power source.
    • Location: Displays the address or location corresponding to the recorded GPS coordinates.
    • Speed: Displays the vehicle speed at the recorded time.
    • Last Distance (Meters): Displays the distance traveled since the previous recorded data point.
    • Distance: Displays the cumulative distance traveled by the vehicle up to the recorded data point.
    • History Data: Indicates whether the data was received in real-time or retrieved from the device's internal history storage.
    • Latitude: Displays the latitude coordinate of the vehicle's recorded position.
    • Longitude: Displays the longitude coordinate of the vehicle's recorded position.
    • No. of Satellite: Displays the number of GPS satellites used by the device to determine its location at the recorded time.
    • Map: Allows users to view the recorded vehicle location on the map for better route and position analysis.
      • Users can add the particular location as an Address or Geofence.


AI Insight

The AI Insight provides an automatically generated interpretation of the travel data, helping users quickly understand the overall vehicle activity during the selected reporting period. It converts report data into easy-to-understand insights, enabling faster review and better decision-making without the need for manual analysis.

To Generate the AI Insight for the report:

  1. Generate the Travel Summary Report.
  2. Once the report is generated, the AI Insight button will appear in the top-right corner of the report.
  3. Click the AI Insight button.
  4. From the Parameters section, select the AI model you want to use (ChatGPT or Gemini).
  5. Click Generate.
  6. The AI Insight report will be generated and displayed on the screen.
  7. To download the AI Insight report, click the Download icon at the bottom of the generated report. The report will be downloaded in PDF format.
